CSV Formatting Requirements
Proper formatting ensures a smooth import or update process. The CSV template includes 51 columns, but you only need to include the ones relevant to your leads. Unmapped columns will be skipped during the import process. Here are the key fields to understand:
Contact Details
Email Address
- Standard email format: name@domain.com
- Used for matching existing leads during updates
Phone Number
- Include country code when applicable
- Used for matching existing leads during updates
Attribution Data
Lead Type (Required for importing new leads)
- Examples: Phone Call, Web Form, Chat, Appointment, Message, Transaction, Event, Email, Other
- Must match an existing lead type in your WhatConverts account
- If not included in CSV, you can select a default lead type during import
Source
- Where the lead originated (e.g., google, facebook, bing, direct)
Medium
- Marketing medium (e.g., cpc, organic, email, referral)
Lead Page
- The page where the conversion occurred
Landing Page
- The first page visited in the session
Qualification Data
Quote Value
- Numeric value representing the potential deal size
- Format: Use numbers only (no currency symbols)
Sales Value
- Numeric value representing the closed deal amount
- Format: Use numbers only (no currency symbols)
- Note: When updating, you can choose to combine this with existing values or replace them
Quotable
- Indicates whether the lead is quotable
- Format: Use Yes/No
Date and Time
Date (Required for importing new leads)
- Format: YYYY-MM-DD HH:MM:SS
- Example: 2025-09-08 13:44:00
- This represents when the lead was created
Timezone (Required for importing new leads)
- Format: Standard timezone identifier
- Example: America/New_York, America/Los_Angeles, America/Chicago
Matching Fields for Updates
When updating existing leads, include at least one of these fields to match records:
- Lead ID: The unique WhatConverts identifier for the lead
- Email Address: Match leads by email
- Phone Number: Match leads by phone number
General Formatting Tips
- Column headers should match the template (case-sensitive)
- Leave cells blank for data you don't have—don't use "N/A" or other placeholders
- Save your file as CSV format (not Excel .xlsx)
- Ensure no extra spaces before or after data in cells
- Use UTF-8 encoding if your data includes special characters
