Send Quote and/or Sales Value from JobNimbus CRM to WhatConverts
Create a Zapier workflow that automatically sends job values from JobNimbus back to WhatConverts to update existing leads.
Before You Begin
Make sure you have:
- Completed the Send Leads from WhatConverts to JobNimbus CRM workflow, so you have Lead IDs stored in JobNimbus
- A JobNimbus account
- A Zapier account
- Your WhatConverts API key:
- For Master Account integrations: Generate a Master API Key
- For Profile integrations: Generate a Profile API Key
Understand This Workflow
This workflow updates existing leads in WhatConverts with job information from JobNimbus. It uses the WhatConverts Lead ID (stored in the JobNimbus contact's "External ID" field) to find and update the correct lead. If you don't have the Lead ID stored in the External ID field, you'll need to add a "Find Lead" step to search for the lead by phone or email before updating.
The trigger for this workflow is "Updated Job" or "New Job" in JobNimbus.
Create Your Sales Tracking Workflow
To build your Zapier workflow for sending sales data from JobNimbus to WhatConverts:
Step 1: Set Up the Trigger
- Log in to your Zapier account.
- In the left-hand menu, click "+ Create", then click "Zaps".
- Use the AI Copilot to enter the integration you are setting up, or use the Trigger Box and search for "JobNimbus".
- Choose "Updated Job" or "New Job" as the trigger event. Click "Continue".
- Connect your JobNimbus account if not already connected.
- Configure any trigger filters if you only want specific updates to sync (for example, when jobs move to a "Sold" or "Completed" status).
- Test the trigger to verify the connection works and review sample job data.
Step 2: Get the Contact Associated with the Job
- Click the Action step to select a platform.
- Search for and select "JobNimbus". Choose "Find Contact" as the action, then click "Continue".
- Map the contact ID associated with the job from Step 1.
- Test this step to retrieve the contact information, including the "External ID" field containing the WhatConverts Lead ID.
Step 3: Update Lead in WhatConverts (If You Have Lead ID)
If your JobNimbus contacts have the WhatConverts Lead ID stored in the "External ID" field:
- Click the Action step to select a platform.
- Search for and select "WhatConverts". Choose "Update Lead" as the action, then click "Continue".
- Map the following fields:
- Lead ID: Map the "External ID" field from Step 2 that contains the WhatConverts Lead ID
- Quote Value: Map from the JobNimbus job contract amount (if the job is in a proposal stage)
- Sales Value: Map from the JobNimbus job contract amount (if the job is sold/completed)
- Additional fields as needed
- Test this step to update a test lead in WhatConverts and verify the lead appears correctly updated.
Alternative Step 3: Find and Update Lead (If You Don't Have Lead ID)
If your JobNimbus contacts don't have the Lead ID stored, you need to find the lead first:
Step 3a: Find Lead in WhatConverts
- Click the Action step to select a platform.
- Search for and select "WhatConverts". Choose "Find Lead" as the action, then click "Continue".
- Map search criteria from Step 2:
- Email: Map from JobNimbus contact email, OR
- Phone: Map from JobNimbus contact phone number
- Test this step to verify it finds the correct lead.
Step 3b: Update Lead in WhatConverts
- Add another WhatConverts step by pressing the "+" symbol.
- Choose "Update Lead" as the action.
- Map the value from JobNimbus Step 1 to either the Sales Value, Quote Value, or both fields.
- Test this step to update a test lead in WhatConverts and verify the lead appears correctly updated.
Activate Your Workflow
Once you've successfully tested all steps:
- Review the entire workflow to ensure all mappings are correct.
- Verify the Lead ID custom field is properly mapped.
- Click "Publish" to activate the Zap.
- Monitor the first few jobs that come through to ensure leads are updated correctly.
