Send Quote and/or Sales Value from Pipedrive to WhatConverts
Create Zapier workflows that send deal values from Pipedrive back to WhatConverts, enabling complete revenue attribution.
Before You Begin
Make sure you have:
- Completed the setup steps in the Connect WhatConverts to Pipedrive article
- Already created the workflow to send leads from WhatConverts to Pipedrive (this ensures Lead ID is stored in Pipedrive)
- A Pipedrive account
- A Zapier account
- Your WhatConverts API key:
- For Master Account integrations: Generate a Master API Key
- For Profile integrations: Generate a Profile API Key
Create Your Deal to Lead Value Workflow
To build your Zapier workflow for sending deal values from Pipedrive to WhatConverts:
Step 1: Set Up the Trigger
- Log in to your Zapier account.
- In the left-hand menu, click "+ Create", then click "Zaps".
- Use the AI Copilot to enter the integration you are setting up, or use the Trigger Box and search for "Pipedrive".
- Choose your trigger event based on when you want to update values:
- "New Deal" for quote values when deals are first created
- "Updated Deal" for tracking value changes throughout the sales cycle
- "Deal Matching Filter" for specific deal stages or statuses
- Click "Continue".
- If not already connected, sign in to your Pipedrive account.
- Configure any filters (e.g., specific deal stages or pipelines)
- Test the trigger to verify the connection and review sample deal data.
Step 2: Find Person in Pipedrive
- Click the Action step and search for "Pipedrive".
- Choose "Find Person" as the action. Click "Continue".
- Map the "Person ID" field to the "Person ID" from Step 1 (the deal trigger).
- Test this step to verify it retrieves the person associated with the deal.
Step 3: Update Deal in Pipedrive
- Click the Action step and search for "Pipedrive".
- Choose "Update Deal" as the action. Click "Continue".
- Map the following fields:
- Deal ID: Map the "Deal ID" from Step 1
- LeadID Custom Field (Deal): Map the "LeadID" custom field from Step 2 (the person record)
- Test this step to verify the deal is updated with the LeadID.
Step 4: Update Lead in WhatConverts
Now you have two options for updating the lead in WhatConverts:
Option A: Update Lead Using Lead ID (Recommended)
- Click the Action step and search for "WhatConverts".
- Choose "Update Lead" as the action. Click "Continue".
- Map the following fields:
- Lead ID: Map the "Lead ID" custom field from Step 2 or Step 3
- Quote Value: Map the "Value" from Step 1 (the deal)
- Or Sales Value: Map the "Value" from Step 1 for won deals
- Add a filter before this step if you want to only update sales value for won deals:
- Filter: Only continue if "Status" (from Step 1) equals "Won"
- Test this step to verify the lead is updated correctly.
Option B: Find and Update Lead by Phone or Email
If the LeadID isn't reliably stored, you can search for the lead first:
- Click the Action step and search for "WhatConverts".
- Choose "Find Lead" as the action. Click "Continue".
- Search using either:
- Phone Number: Map the "Phone" from Step 2 (the person)
- Email: Map the "Email" from Step 2 (the person)
- Test this step to verify it finds the correct lead.
- Add another "Update Lead" action step:
- Lead ID: Map the "Lead ID" from the Find Lead step
- Quote Value: Map the "Value" from Step 1
- Or Sales Value: Map the "Value" from Step 1 for won deals
Create a Separate Workflow for Sales Values (Optional)
If you want to track both quote values and sales values separately, create a second workflow specifically for won deals:
- Follow the same steps as above.
- Use "Deal Matching Filter" as the trigger and filter for won deals only.
- In the Update Lead step, map the deal value to "Sales Value" instead of "Quote Value".
This approach allows you to:
- Update quote values when deals are created or updated
- Update sales values only when deals are marked as won
- Maintain separate tracking for estimated vs. actual revenue
Activate Your Workflow
Once you've successfully tested all steps:
- Review the entire workflow to ensure all mappings are correct.
- Verify the LeadID is properly flowing from person to deal to WhatConverts.
- Click "Publish" to activate the Zap.
- Monitor the first few deals to ensure values are updating correctly in WhatConverts.
