Understand the Keragon Integration (HIPAA Compliant)

The Keragon Integration enables HIPAA-compliant automation between WhatConverts and other business systems. Understanding how this integration works, its capabilities, and its limitations will help you create secure, compliant workflows for handling sensitive customer or patient data.

How the Integration Works

Keragon operates as a HIPAA-compliant automation platform similar to Zapier, connecting WhatConverts with other applications through secure API connections. The integration uses triggers and actions to automate workflows:

Workflow Structure

  1. Trigger: An event in WhatConverts that starts the workflow
  2. Action: What Keragon does with the data from WhatConverts

Available Triggers

Triggers are events in WhatConverts that start a Keragon workflow:

New Lead

  • Fires when a new lead is created in WhatConverts
  • Captures all lead data, including contact information, lead type, source, and marketing attribution
  • Use this to automate follow-up actions when potential customers first contact you

Updated Lead

  • Fires when an existing lead is modified in WhatConverts
  • Captures the updated lead information
  • Use this to trigger workflows when lead status changes, quotes are added, or sales values are recorded

Note: When testing trigger steps in Keragon, you will be notified for a maximum of 500 records that were created in the last 5 minutes.

Available Actions

Actions are what Keragon can do with WhatConverts data:

Get Leads

  • Retrieves all leads from WhatConverts
  • Can be filtered using the email address to find specific leads
  • Set "Max items" to 1 to ensure only one result is returned
  • Use this to find a lead's ID for use in the Update Lead action
  • Required fields: Profile ID
  • Optional fields: Email address filter, Max items

Get Lead

  • Finds a single specific lead by Lead ID
  • Use this to query detailed information about one lead
  • Required fields: Profile ID, Lead ID

Create Lead

  • Adds a new lead to WhatConverts from external sources
  • Uses WhatConverts default fields only
  • Required fields: Profile ID, Lead Type, Send notification (yes/no)
  • Note: Additional custom fields cannot be added through this action

Update Lead

  • Modifies an existing lead in WhatConverts
  • Required fields: Profile ID, Lead ID
  • Fields that can be updated:
    • Quote value
    • Sales value
    • Lead page URL
    • Quotable status (yes/no)
  • Important: Only these four fields can be updated – other lead fields cannot be modified through Keragon

HIPAA Compliance Features

Keragon is specifically designed for HIPAA compliance:

  • Secure data transmission and storage
  • Business Associate Agreement (BAA) available
  • Audit logging for compliance tracking
  • Encrypted data handling
  • Access controls and user permissions

This makes Keragon suitable for healthcare providers, medical practices, and any business handling protected health information (PHI).

Workflow Creation Process

To create a workflow in Keragon:

  1. Log in to your Keragon account
  2. Click "Create Workflow"
  3. Select "WhatConverts" as your trigger or action platform
  4. Choose your trigger event (New Lead or Updated Lead) or action (Get Leads, Get Lead, Create Lead, Update Lead)
  5. Configure the required fields
  6. Test the workflow
  7. Activate the workflow

Data Flow Examples

Example 1: New Patient Inquiry Follow-Up

  • Trigger: New Lead in WhatConverts (phone call from potential patient)
  • Action: Create patient record in HIPAA-compliant CRM

Example 2: Quote Value Update

  • Trigger: Updated Lead in WhatConverts (quote added)
  • Action: Update Lead in WhatConverts to mark as quotable

Example 3: Lead Retrieval for Reporting

  • Trigger: Scheduled event (daily)
  • Action: Get Leads from WhatConverts for compliance reporting

Important Limitations

Field Restrictions

  • Create Lead uses default fields only; you cannot add custom fields
  • Update Lead can only modify four specific fields: quote value, sales value, lead page URL, and quotable status
  • Other lead data cannot be changed through the integration

Testing Limitations

  • Trigger tests are limited to 500 records created in the last 5 minutes
