Validate Your Integration

After setting up your Salesforce integration workflows, follow these steps to verify everything is working correctly:

Test Lead-to-Lead Flow

  1. Create a test lead in WhatConverts (submit a form, make a test call, or use the Add Lead feature).
  2. Wait 1-5 minutes for the Zapier workflow to process.
  3. Check Salesforce for a new lead with matching information.
  4. Verify the lead record includes all mapped fields (contact info, marketing attribution data).
  5. Check Zapier's "Zap History" to confirm the workflow ran successfully.

Test Opportunity-to-Lead Value Flow

  1. In Salesforce, create or update an opportunity.
  2. Wait 1-5 minutes for the Zapier workflow to process.
  3. In WhatConverts, navigate to the corresponding lead.
  4. Verify the quote value or sales value was updated.
  5. Check Zapier's "Zap History" to confirm the workflow ran successfully.

Common Issues and Solutions

Leads Created Without Required Fields

Problem: New leads appear in Salesforce but are missing required field data (Last Name or Company).

Solutions:

  • Verify the required fields are mapped in your Zapier workflow
  • Ensure that WhatConverts has the necessary data for these fields
  • Consider using default values or formulas if the source data is inconsistent
  • Review the Zapier task history for error messages

Lead Values Not Updating in WhatConverts

Problem: Opportunity values don't flow back to WhatConverts leads.

Solutions:

  • Verify the lead identification method works (contact information matching or Lead ID)
  • Check that the contact information hasn't changed between lead creation and opportunity update
  • Confirm that your WhatConverts API key has appropriate permissions
  • Review Zapier task history for errors in the "Update Lead" or "Find Lead" steps
  • Verify that the opportunity has an associated contact with a valid email or phone number

Wrong Lead Updated in WhatConverts

Problem: Opportunity values are updating the wrong lead in WhatConverts.

Solutions:

  • Verify the search criteria is unique enough to identify the correct lead
  • Check if duplicate leads exist in WhatConverts with similar contact information
  • Consider using the Lead ID storage method instead of contact information matching
  • Review the "Find Lead" step results in the Zapier task history

Workflow Not Triggering

Problem: Zapier workflows don't run when expected.

Solutions:

  • Check that the Zap is turned "On" in Zapier
  • Verify the trigger event matches your intended action (e.g., New Opportunity vs Updated Opportunity)
  • Review any filters you've set to ensure they're not blocking the workflow
  • Check Zapier's polling schedule (some plans poll every 15 minutes)
  • Test the trigger manually using Zapier's "Test Trigger" button

Duplicate Leads Created

Problem: Multiple lead records created for the same person in Salesforce.

Solutions:

  • This typically happens when the same lead is triggered multiple times
  • Add a filter to your WhatConverts trigger to only process specific lead types
  • Enable Salesforce's built-in duplicate detection rules
  • Consider adding a "Find Lead" step before "Create Lead" to check for existing records

Missing Marketing Attribution Data

Problem: Leads are created, but marketing source data isn't populated.

Solutions:

  • Verify the marketing attribution fields are mapped in your Zapier workflow
  • Check that WhatConverts is properly tracking the source, medium, and campaign data
  • Confirm that the Description field or custom fields are configured to receive this data
  • Review the WhatConverts lead to ensure attribution data exists before syncing

Check the Zapier Task History

To investigate issues with your workflows:

  1. Log in to Zapier.
  2. Click "Zap History" in the left sidebar.
  3. Filter by the specific Zap you want to review.
  4. Look for tasks with error icons or "Held" status.
  5. Click on individual tasks to see detailed execution logs.
  6. Review each step to identify where the workflow failed.

Test with Zapier's Tools

Zapier provides several testing tools:

  • Test Trigger: Forces the trigger to check for new data immediately rather than waiting for the next poll
  • Test Action: Runs a single action step with test data to verify it works correctly
  • Replay Failed Tasks: Attempts to re-run tasks that failed, useful after fixing configuration issues
  • Filter Testing: Allows you to test filter conditions before activating the Zap
