Validate Your Integration
After setting up your Pipeline CRM integration workflows, follow these steps to verify everything is working correctly:
Test Lead-to-Person Flow
- Create a test lead in WhatConverts (submit a form, make a test call, or use the Add Lead feature).
- Wait 1-5 minutes for the Zapier workflow to process.
- Check Pipeline CRM for a new person with matching information.
- Verify the person record includes the Lead ID custom field populated with the WhatConverts Lead ID.
- Check Zapier's "Zap History" to confirm the workflow ran successfully.
Test Deal-to-Lead Value Flow
- In Pipeline CRM, create or update a deal associated with a person who has a Lead ID.
- Wait 1-5 minutes for the Zapier workflow to process.
- Check the deal record to verify the Lead ID custom field was populated.
- In WhatConverts, navigate to the corresponding lead.
- Verify that the quote or sales value has been updated.
- Check Zapier's "Zap History" to confirm the workflow ran successfully.
Common Issues and Solutions
Person Created Without Lead ID
Problem: New people appear in Pipeline CRM, but the Lead ID custom field is empty.
Solutions:
- Verify the Lead ID custom field exists in Pipeline CRM (Account Settings → Custom Fields → Person fields)
- Check the Zapier workflow mapping to ensure the Lead ID field is mapped to the Lead ID from WhatConverts
- Confirm the field type is set to "Numeric" or "Text"
- Review the Zapier task history for error messages
Lead Values Not Updating in WhatConverts
Problem: Deal values don't flow back to WhatConverts leads.
Solutions:
- Verify the person associated with the deal has a Lead ID stored
- Check that the deal is associated with a person (deals without people won't work)
- Confirm the "Find Person" step in your workflow is retrieving the correct person
- Verify the Lead ID is being copied to the deal's Lead ID custom field
- Check that your WhatConverts API key has appropriate permissions
- Review Zapier task history for errors in the "Update Lead" step
Wrong Lead Updated in WhatConverts
Problem: Deal values are updating the wrong lead in WhatConverts.
Solutions:
- Verify the Lead ID stored in Pipeline CRM matches the Lead ID in WhatConverts
- Check if duplicate people exist in Pipeline CRM with different Lead IDs
- If using the "Find Lead" method (by phone/email), verify that the search criteria is unique
- Consider switching to the Lead ID-based update method instead of searching by contact info
Workflow Not Triggering
Problem: Zapier workflows don't run when expected.
Solutions:
- Check that the Zap is turned "On" in Zapier
- Verify the trigger event matches your intended action (e.g., New Deal vs Updated Deal)
- Review any filters you've set to ensure they're not blocking the workflow
- Check Zapier's polling schedule (some plans poll every 15 minutes)
- Test the trigger manually using Zapier's "Test Trigger" button
Duplicate People Created
Problem: Multiple person records created for the same lead in Pipeline CRM.
Solutions:
- This typically happens when the same lead is triggered multiple times
- Add a filter to your WhatConverts trigger to only process specific lead types
- Enable Pipeline CRM's built-in duplicate detection features if available
- Consider adding a "Find Person" step before "Create Person" to check for existing records
Lead ID Not Copying from Person to Deal
Problem: The person has a Lead ID, but deals don't get updated with it.
Solutions:
- Verify the Lead ID custom field exists for both Person and Deal record types
- Checkthat the "Update Deal" step in your workflow includes the Lead ID mapping
- Ensure the "Find Person" step successfully retrieves the person data before the update
- Review Zapier task history for errors in the person lookup
Check the Zapier Task History
To investigate issues with your workflows:
- Log in to Zapier.
- Click "Zap History" in the left sidebar.
- Filter by the specific Zap you want to review.
- Look for tasks with error icons or "Held" status.
- Click on individual tasks to see detailed execution logs.
- Review each step to identify where the workflow failed.
Test with Zapier's Tools
Zapier provides several testing tools:
- Test Trigger: Forces the trigger to check for new data immediately rather than waiting for the next poll
- Test Action: Runs a single action step with test data to verify it works correctly
- Replay Failed Tasks: Attempts to re-run tasks that failed, useful after fixing configuration issues
- Filter Testing: Allows you to test filter conditions before activating the Zap
