Send Leads from WhatConverts to Salesforce
Create a Zapier workflow that automatically sends new leads from WhatConverts to Salesforce as lead records.
Before You Begin
Make sure you have:
- Completed the setup steps in the Connect WhatConverts to Salesforce article
- A Salesforce account
- A Zapier account
- Your WhatConverts API key:
- For Master Account integrations: Generate a Master API Key
- For Profile integrations: Generate a Profile API Key
Create Your Lead to Lead Workflow
To build your Zapier workflow for sending leads from WhatConverts to Salesforce:
Step 1: Set Up the Trigger
- Log in to your Zapier account.
- In the left-hand menu, click "+ Create", then click "Zaps".
- Use the AI Copilot to enter the integration you are setting up, or use the Trigger Box and search for "WhatConverts".
- Choose "New Lead" as the trigger event. Click "Continue".
- Connect your WhatConverts account using your Profile ID and Secret Token.
- Configure trigger filters if desired (e.g., only leads from specific sources or lead types like "Phone Call Completed", "Web Form", or "Chat Completed").
- Test the trigger to verify the connection works and review sample lead data.
Step 2: Create Lead in Salesforce
- Click the Action step to select a platform.
- Search for and select "Salesforce". Choose "Create Lead" as the action, then click "Continue".
- If not already connected, sign in to Salesforce when prompted and authorize the connection.
- Map the following fields from the WhatConverts lead (Step 1):
- Last Name: Map the "Contact Name" or "Caller Name" (this is a required field in Salesforce)
- Company: Map the "Company Name" (this is a required field in Salesforce)
- Phone: Map the "Phone Number"
- Email: Map the "Email"
- City: Map the "City" or "Caller City"
- State: Map the "State" or "Caller State"
- Zip: Map the "Zip Code" or "Caller Zip"
- Country: Map the "Country" or "Caller Country"
- Lead Source: Map the "Source"
- Description: Include marketing attribution data:
- Source: "Source"
- Medium: "Medium"
- Campaign: "Campaign"
- Content: "Content"
- Keyword: "Keyword"
- Landing Page: "Landing URL"
- Lead Page: "Lead URL"
- Call Duration: "Call Duration" (for phone leads)
- Call Recording: "Play Recording URL" (if enabled)
- WhatConverts Lead ID (if using custom field): Map the "Lead ID" from Step 1
- Test this step to create a test lead in Salesforce and verify the lead appears correctly.
Activate Your Workflow
Once you've successfully tested all steps:
- Review the entire workflow to ensure all mappings are correct.
- Verify the required fields (Last Name and Company) are properly mapped.
- Click "Publish" to activate the Zap.
- Monitor the first few leads that come through to ensure leads are created correctly.
Understand the Lead ID Storage
When this workflow creates a lead in Salesforce, you can optionally store the WhatConverts Lead ID in a custom field. This Lead ID can be useful for the reverse workflow that sends sales data from Salesforce back to WhatConverts. With this ID stored, future workflows can directly update the correct lead in WhatConverts without needing to search by phone or email.
