Send Quote and/or Sales Value from Capsule CRM to WhatConverts
Create a Zapier workflow that automatically sends quote and sales values from Capsule CRM back to WhatConverts to update existing leads.
Before You Begin
Make sure you have:
- Completed the Send Leads from WhatConverts to Capsule CRM workflow, so you have Lead IDs stored in Capsule
- A Zapier account
- Your WhatConverts API key:
- For Master Account integrations: Generate a Master API Key
- For Profile integrations: Generate a Profile API Key
Understand This Workflow
This workflow updates existing leads in WhatConverts with quote and sales information from Capsule CRM. It uses the WhatConverts Lead ID (stored in the Capsule contact's custom field) to find and update the correct lead. If you don't have the Lead ID stored, you'll need to add a "Find Lead" step to search for the lead by phone or email before updating.
Create Your Sales Tracking Workflow
To build your Zapier workflow for sending sales data from Capsule CRM to WhatConverts:
Step 1: Set Up the Trigger
- Log in to your Zapier account.
- In the left-hand menu, click "+ Create", then click "Zaps".
- Use the AI Copilot to enter the integration you are setting up, or use the Trigger Box and search for "Capsule CRM".
- Choose "Updated Contact" as the trigger event. Click "Continue".
- If not already connected, sign in to your Capsule CRM account by entering your Site Address and selecting “Allow”.
- Configure any trigger filters if you only want specific updates to sync (for example, when a specific field changes).
- Test the trigger to verify the connection works and review sample contact data.
Step 2: Update a Lead in WhatConverts (If You Have Lead ID)
If your Capsule contacts have the WhatConverts Lead ID stored in a custom field:
- Click the Action step to select a platform.
- Search for and select "WhatConverts". Choose "Update Lead" as the action.
- Click "Continue".
- Map the value from Capsule Step 1 to either the Sales Value, Quote Value, or both fields.
- Test this step to update a test lead in WhatConverts and verify the lead appears correctly updated.
Alternative Step 2: Find and Update Lead (If You Don't Have Lead ID)
If your Capsule contacts don't have the Lead ID stored, you need to find the lead first:
Step 2a: Find Lead in WhatConverts
- Click the Action step to select a platform.
- Search for and select "WhatConverts". Choose "Find Lead" as the action.
- Click "Continue".
- Map search criteria from Step 1:
- Email: Map from Capsule contact email, OR
- Phone: Map from Capsule contact phone number
- Test this step to verify it finds the correct lead.
Step 2b: Update Lead in WhatConverts
- Add another WhatConverts step by pressing the “+” symbol.
- Choose "Update Lead" as the action.
- Map the value from Capsule Step 1 to either the Sales Value, Quote Value, or both fields.
- Test this step to update a test lead in WhatConverts and verify the lead appears correctly updated.
Activate Your Workflow
Once you've successfully tested all steps:
- Review the entire workflow to ensure all mappings are correct.
- Verify the Lead ID custom field is properly mapped.
- Click "Publish" to activate the Zap.
- Monitor the first few leads that come through to ensure contacts are created correctly.
