Send Leads from WhatConverts to Zoho CRM

Create a Zapier workflow that automatically sends new leads from WhatConverts to Zoho CRM as lead records.

Before You Begin

Make sure you have:

Create Your Lead to Lead Workflow

To build your Zapier workflow for sending leads from WhatConverts to Zoho CRM:

Step 1: Set Up the Trigger

  1. Log in to your Zapier account.
  2. In the left-hand menu, click "+ Create", then click "Zaps".
  3. Use the AI Copilot to enter the integration you are setting up, or use the Trigger Box and search for "WhatConverts".
  4. Choose "New Lead" as the trigger event. Click "Continue".
  5. Connect your WhatConverts account using your Profile ID and Secret Token.
  6. Configure trigger filters if desired (e.g., only leads from specific sources or lead types like "Phone Call Completed", "Web Form", or "Chat Completed").
  7. Test the trigger to verify the connection works and review sample lead data.

Step 2: Create a Lead in Zoho CRM

  1. Click the Action step to select a platform.
  2. Search for and select "Zoho CRM". Choose "Create/Update Module Entry" as the action. Click "Continue".
  3. If not already connected, sign in to Zoho CRM when prompted and authorize the connection.
  4. On the "Set up action" page:
    • Module: Select "Leads" from the dropdown
    • Layout: Select your layout (typically "Standard")
  5. The page will expand to show field mapping options. Map the following fields from the WhatConverts lead (Step 1):
    • Company: Map the "Company Name" or "Lead Name" from Step 1 (this is a required field in Zoho CRM)
    • Last Name: Map the "Lead Name" or "Caller Name" from Step 1 (this is a required field in Zoho CRM)
    • First Name: Map the "First Name" from Step 1 (if available)
    • Phone: Map the "Phone Number" or "Caller Number" from Step 1
    • Email: Map the "Email" from Step 1
    • City: Map the "City" or "Caller City" from Step 1
    • State: Map the "State" or "Caller State" from Step 1
    • Zip Code: Map the "Zip Code" or "Caller Zip" from Step 1
    • Country: Map the "Country" or "Caller Country" from Step 1
    • Lead Source: Map the "Source" from Step 1
    • Description: Include marketing attribution data by typing in the following, then choosing the counterpart from the dropdown:
      • Source: "Source"
      • Medium: "Medium"
      • Campaign: "Campaign"
      • Content: "Content"
      • Keyword: "Keyword"
      • Landing Page: "Landing URL"
      • Lead Page: "Lead URL"
      • Duration: "Call Duration" (for phone leads)
      • Call Recording: "Play Recording URL" (if enabled)
      • Call Transcription: "Call Transcription" (if enabled)
    • WhatConverts Lead ID (if using custom field): Map the "Lead ID" from Step 1
  6. Click "Continue".
  7. Test this step to create a test lead in Zoho CRM and verify that the lead appears correctly.

Activate Your Workflow

Once you've successfully tested all steps:

  1. Review the entire workflow to ensure all mappings are correct.
  2. Verify the required fields (Last Name and Company) are properly mapped.
  3. Click "Publish" to activate the Zap.
  4. Monitor the first few leads that come through to ensure leads are created correctly.
