Send Quote and/or Sales Value from HubSpot to WhatConverts

Create a Zapier workflow that automatically sends deal values from HubSpot back to WhatConverts to update existing leads.

Before You Begin

Make sure you have:

Understand This Workflow

This workflow updates existing leads in WhatConverts with deal information from HubSpot. It uses the WhatConverts Lead ID (stored in the HubSpot contact's custom property) to find and update the correct lead. If you don't have the Lead ID stored, you'll need to add a "Find Lead" step to search for the lead by phone or email before updating.

The trigger for this workflow is "Deal Stage Changed" or "Updated Deal" in HubSpot.

Create Your Sales Tracking Workflow

Follow these steps to build your Zapier workflow for sending sales data from HubSpot to WhatConverts:

Step 1: Set Up the Trigger

  1. Log in to your Zapier account.
  2. In the left-hand menu, click "+ Create", then click "Zaps".
  3. Use the AI Copilot to enter the integration you are setting up, or click the Trigger Box and search for "HubSpot".
  4. Choose "Deal Stage Changed" or "Updated Deal" as the trigger event. Click "Continue".
  5. Connect your HubSpot account if not already connected.
  6. Configure any trigger filters if you only want specific updates to sync (for example, when deals move to a "Closed Won" stage).
  7. Test the trigger to verify the connection works and review sample deal data.

Step 2: Get the Contact Associated with the Deal

  1. Click the Action step to select a platform.
  2. Search for and select "HubSpot". Choose "Find Contact" as the action, then click "Continue".
  3. Map the contact associated with the deal from Step 1.
  4. Test this step to retrieve the contact information, including the WhatConverts Lead ID custom property.

Step 3: Update Lead in WhatConverts (If You Have Lead ID)

If your HubSpot contacts have the WhatConverts Lead ID stored in a custom property:

  1. Click the Action step to select a platform.
  2. Search for and select "WhatConverts". Choose "Update Lead" as the action. Click "Continue".
  3. Map any desired fields with the data from the ServiceTitan update (Step 1)
  4. Test this step to update a test lead in WhatConverts and verify the lead appears correctly updated.

Alternative Step 3: Find and Update Lead (If You Don't Have Lead ID)

If your HubSpot contacts don't have the Lead ID stored, you need to find the lead first:

Step 3a: Find Lead in WhatConverts

  1. Click the Action step to select a platform.
  2. Search for and select "WhatConverts". Choose "Find Lead" as the action, then click "Continue".
  3. Map search criteria from Step 2:
    • Email: Map from HubSpot contact email, OR
    • Phone: Map from HubSpot contact phone number
  4. Test this step to verify it finds the correct lead.

Step 3b: Update Lead in WhatConverts

  1. Add another WhatConverts step by pressing the "+" symbol.
  2. Choose "Update Lead" as the action.
  3. Map any desired fields with the data from the ServiceTitan update (Step 1).
  4. Test this step to update a test lead in WhatConverts and verify the lead appears correctly updated.

Activate Your Workflow

Once you've successfully tested all steps:

  1. Review the entire workflow to ensure all mappings are correct.
  2. Verify the Lead ID custom property is properly mapped.
  3. Click "Publish" to activate the Zap.
  4. Monitor the first few deals that come through to ensure leads are updated correctly.
